Payment Terms
The practice does not offer any credit or account facilities. All fees are due at the time of treatment. We accept card, bank transfer and online payments, but not cash or cheques of any type.
No products will be released until they have been paid for, except at the discretion of the Lead Veterinarian for medical reasons.
Direct Insurance Claims
At the discretion of the Practice a claim direct to your insurer may be offered. This facility is only available for fees over £500, of which a £250 deposit is required at the point of treatment. The practice reserves the right to require proof of approval for the treatment/investigation plan, prior to offering this facility.
This facility is not available for dental or other elective procedures as they are normally not covered by insurance.
Insurance and Pet Health Plans
Your Local Vets Ltd trading as Highgate Veterinary Clinic are an Introducer Appointed Representative (IAR) of TVIS Ltd who is authorised and regulated by the Financial Conduct Authority (FRN 523215)
The Plans are all 12 Month plans and automatically renew, unless we receive a request to cancel throughout the Pet Health Plan Agreement. If you choose to cancel the Plan or fail to pay for the plan within the 12 Month term of the plan, you will need to pay to Highgate Veterinary Clinic the full, non-discounted value of any products and services received under the Plan before cancellation, minus any payments made during the plan period.
Deposit for External Practitioners
We require a refundable deposit of £500 at time of booking in order to secure your appointment, this will be used against the cost of the procedure.
Deposit for New Clients
We require a refundable deposit of £70 at time of booking in order to secure your appointment, this will be used against the cost of the appointment.
Deposit for Animal Health Certificate
We require a deposit of £100 for the first pet and £50 for each additional pet at time of booking in order to secure your appointment, this will be used against the cost of the appointment. In the event that you cancel more than 3 working days prior to the appointment this is fully refundable. Cancellations less than 3 working days prior to the appointment will result in a cancellation fee of £100 for the first pet and £50 for each additional pet.
Pet Travel
For pet travel it is the responsibility of the client to ensure that all the requirements are completed correctly and at the appropriate time. Our vets will be happy to provide advice regarding travel. It is the owner’s responsibility to ensure that any rabies boosters are given at the correct time for travel
Deposit for Rebooking missed appointments
In the event that you miss an appointment, we require a non-refundable deposit of £70 at time of re-booking in order to secure your appointment, this will be used against the cost of your appointment.
In the event that the cost of your appointment is less than the deposit, we will either credit your account or refund the difference.
In the event that you miss your re-scheduled appointment, a missed appointment fee of £70 will be charged.
It is at Highgate Veterinary Clinic's sole discretion to waive this requirement, under exceptional circumstances.
External Practitioner Rescheduling & Cancellation Policy
Your pet’s Procedure will be performed by a highly skilled external Veterinarian.
In the event that you need to cancel or reschedule your appointment, please do so at least one working day in advance of your booking.
Late cancellations, late rescheduling and no-shows will incur a fee of £500 that will be applied against your deposit.
Settlement Terms
Should an outstanding balance not be settled within 30 days, an email reminder will be sent.
This will include an additional accounting fee of £15 in respect of administration costs incurred.
In the event that you fail to pay the fees due at the time of treatment and, following due notice to you, Highgate Veterinary Clinic reserve the right to refer your account to a third-party collections agency.
In the event of this happening all fees associated with the collection of your outstanding balance by the agency, will be payable by the account holder at time of settling.
Pet App (Digitail)
Clients of Highgate Veterinary clinic can securely request appointments and access their pet’s medical records from their smart phone, using our app Digitail.
In order to successfully access your records, you will need to use the email we have on file for you. If you are unsure of your which email we have on file for you, please contact reception.
Telephone Recording
Our calls, both incoming and outgoing may be recorded for training and monitoring purposes.
Medication Dispensing and Prescribing
Highgate Veterinary Clinic's policy is to re-assess an animal requiring prescriptions every 3-6 months in compliance with the Veterinary Medicines Directorate requirement. This may vary with individual circumstances and medications.
No products will be released until they have been paid for, except at the discretion of the Lead Veterinarian for medical reasons.
Gabapentin, pregabolin, buprenorphine and phenobarbitone are legally classified as Schedule 3 Controlled Drugs because they can become addictive to humans. While this may not seem relevant to your pet, the regulations which govern how vets can prescribe controlled drugs have been tightened recently.
For those patients who have gabapentin on occasion to allow a less stressful veterinary visit, we will be restricted to prescribing a very limited number of tablets at a time.
We are only able to prescribe a one month supply of medication at a time
Diazepam and Alprazolam are legally classified as Schedule 4 Controlled Drugs and are only prescribed for single anticipated events.
3rd Party Prescriptions
Highgate Veterinary Clinic only accept prescriptions from Royal College of Veterinary Surgeons (RCVS) registered veterinarians and we cannot accept veterinary prescriptions which are issued by a veterinary surgeon whose place of business is located outside of the UK.
Highgate Veterinary Clinic will only supply against medications held in stock at the clinic.
External Prescriptions
Highgate Veterinary Clinic offer a prescription service for patients under our care whose owners wish to utilise pharmacies local to them or online pharmacies.
Prescriptions are provided under VMD regulations and can only be issued for animals under our care and for conditions for which we are treating.
Highgate Veterinary Clinic will prepare the prescription and share it directly with your nominated pharmacy. The cost of a prescription is £20 per written prescription and covers the preparation of the prescription and sharing with your nominated pharmacy. In the event you wish to cancel the shared prescription and share with a different pharmacy, another prescription fee will be charged to cover the administrative work required.
Medication Returns Policy
We do not accept returns for any medication once it has left the practice premises. In the event you have unused medication, we can dispose of them safely on your behalf, free of charge
Records
If you wish to see another vet due to travel or a change in circumstances, please email us with the other practice in copy to give approval for sharing the full records.
